Knowledge Files

Knowledge Files are documents you upload to a course that the AI uses as source material. They improve both the AI Tutor (for learner Q&A) and the Creator Agent (for content generation).

Supported formats

Uploading Knowledge Files

1. Open the course, go to the Settings tab, and scroll to the Sources section
2. Scroll to the Knowledge Files section
3. Click to upload knowledge files
4. Select one or more files from your computer
5. Wait for processing — files are parsed and indexed automatically

You can upload multiple files at once. Storage limits apply based on your plan.

What happens to uploaded files

LearnBuilder extracts the text content from each file and indexes it for AI retrieval. When the AI Tutor answers a question or the Creator Agent generates content, it searches these files for relevant information and grounds its responses in what it finds.

Tip: Higher-quality source documents produce better AI output. Well-structured PDFs with clear headings work better than scanned images or poorly formatted files.

Use cases

AI Tutor + Knowledge Files

When a learner asks the Tutor a question, the Tutor searches Knowledge Files for the most relevant passages and uses them to construct its answer. Answers cite the source material when relevant.

Without Knowledge Files, the Tutor relies only on the course content itself.

Creator Agent + Knowledge Files

When generating course content, the Creator Agent uses Knowledge Files to:

• Ensure factual accuracy
• Use correct terminology and definitions
• Generate examples grounded in your actual material

Tip: Upload Knowledge Files before generating lesson content — it makes a noticeable difference in quality and accuracy.

Source fidelity

When you generate lessons from a policy, procedure, regulation or similar rule-based document, wording matters: a 48-hour deadline must not become "two working days", and an exception the document doesn't contain must not appear. LearnBuilder checks this for you.

The rule checklist. The first time lessons are generated (or the outline is created) from your files, the AI reads the whole of each document and extracts every load-bearing rule — obligations, deadlines, thresholds, amounts, owners, channels, exceptions, step sequences — with the exact values a lesson must reproduce. You can review the list under Settings → Sources → Source fidelity → Show rules. It is rebuilt automatically when you add or remove files.

Coverage. For normative documents every rule is assigned to the lesson that should teach it. Each lesson's prompt lists its rules as must-cover, verbatim, and the rest as reference that must match exactly if mentioned.

The check. After a lesson is generated, its text — teaching content, quiz answer keys and explanations, flashcards, drag & drop items, dialogue rubrics — is compared against the checklist. A rule stated with a different value is corrected in place; a rule the lesson owns but never states is added as a short content block; anything that can't be fixed automatically appears as a Source check warning at the top of the lesson editor, with a one-click AI fix.

Grounded vs. strict. The Source fidelity control under the knowledge files has two settings:

Strict is chosen automatically when the checklist extraction recognises a policy, procedure or regulation; you can switch back at any time.

Long documents. The lesson generator reads up to about 40,000 characters (roughly 12 pages) of each file and 100,000 characters in total. If a file is longer, the lesson editor shows a warning naming the document and how much of it was read. The rule checklist is extracted from the full text, so the rules themselves still reach the generator — but the wording and examples of the cut part don't. Split very long documents into shorter files.

Removing Knowledge Files

To remove a file:

1. Go to the Settings tab → Sources section → Knowledge Files
2. Find the file and click the delete icon
3. Confirm deletion

Removed files are no longer available to the AI. Previously generated content is not affected.
